Notice for trainers: updated stable staff declaration process

¹ó°ù´Ç³¾ÌýFriday 18 September,ÌýseveralÌý³¦³ó²¹²Ô²µ±ð²õÌýwill be made to how trainersÌý»å±ð³¦±ô²¹°ùe staff to attendÌýthe racecourse using Racing Admin.Ìý

These changes aim to improve and simplify the processÌýfor trainersÌýby establishingÌýaÌýDeclare Staff areaÌýon Racing Admin, whereÌýtrainersÌýwill be able to seeÌýtheÌýmembers of staff declared for each fixture, together with their:ÌýÌý

  • Health status (green / amber / red)Ìý
  • Online health screening questionnaireÌýstatus for that fixture (sent / completed / not sent)Ìý
  • Online health screening questionnaireÌýlastÌýcompleted date (to help calculate a 7-day validity)Ìý

¹ó°ù´Ç³¾ÌýFriday 18 September,ÌýstableÌýstaffÌýmust be declared using theÌýDeclare StaffÌýsectionÌýonÌýRacing Admin. ToÌýdo this:ÌýÌý

  • Go to Racing Admin ()ÌýÌý
  • Select ‘Trainer’ from the menu barÌý
  • Select ‘Declare Staff’Ìý

Your runners will be listed.Ìý

  • Click the large DECLARE STAFF button next to the fixture you are declaring staff forÌý
  • Enter the estimated arrival time at the fixtureÌý
  • Select the staff members you wish to attend that fixture by ticking the box next to their nameÌý
  • Repeat for each fixture you have runners at.ÌýÌý

In addition, please note that fromÌýFriday 18 September:Ìý

  • Staff can beÌýdeclaredÌýas soon as you have madeÌýyour declarationÌýto run, up until 1pm on the day of declaration.ÌýÌý
  • Health screening questionnairesÌýwill be emailed directly to the member of staff declared toÌýattendÌýthe fixture within 30 minutes of staff declarations (if less than 48 hours before the fixture). As ever, the questionnaire will be sent to the email addressÌýthat appears for the member of staff on theÌýStable Employee Register.Ìý

You will continue to receive a communication once runners are published, advising you of the requirement to declare staff, and a follow-up email after the 1pm declaration deadline confirming the staff you have selected to attend the fixture.ÌýÌý

Please ensure thatÌýevery individual attendeeÌýhas a valid email address that is checked regularly and is up to date on theÌýStable Employee Register.ÌýIf the email address for a staff member selected is already in use for another person, they will not appear on the Declare Staff areaÌýand a health questionnaire will not be sent. The COVID Helpdesk will contact you to obtain a uniqueÌýemail address for the staff member, they will then be added to the fixture and a health questionnaire sent.ÌýÌý

IfÌýyou require additional personnel (such as horse transporters, specialist stalls handlers) to be on course that are not listed on your Stable Employee Register, please emailÌýthe HelpdeskÌýwith their name, individual email address and role at the fixture.Ìý These attendees will not appear on your Declare Staff area.Ìý

IfÌýyou make your staff declarations prior to runners being published and are subsequently eliminated, balloted out, or become a non-runner, please note it is your responsibility to make any adjustments to staff declarations as necessaryÌýby the 1pm deadline.Ìý

ÌýPlease note that changes to staffÌýafter the 1pm deadlineÌýwillÌýonly beÌýprocessed by the COVID HelpdeskÌýin emergencyÌýsituations.Ìý

RacedayÌýprotocol remindersÌý

The details above apply specifically to the staff declaration process. This forms part of the wider process for declaring horses to run and completing the necessary advance preparation prior toÌýraceday, which is summarised in this shortÌý.ÌýÌý

Everyone attending aÌýracedayÌýin Great Britain should also ensure theyÌýhave read andÌýunderstoodÌýthe fullÌýÌýfor behind closed doors racing, and follow theÌýthree keyÌýracedayÌýrequirements set out by the BHAÌýChief Medical Adviser, Dr Jerry Hill:ÌýÌý

  1. Follow all the social distancing requirements, whether in the ‘green zone’ for participants or the owners’ areaÌý
  1. Do not cross from one zone to another – this could lead to more people, including participants, being quarantined if there is a positive COVID-19 caseÌý
  1. Inform theÌýBHA’s Medical DepartmentÌýif you test positive for COVID-19. The team can offer advice for employers and liaise more effectively with public health authorities.Ìý
